Dear Teresa, Enclosed is your survey, however I wanted to add just a little note of thanks to all the Wonderful Nurses who took wonderful care of me while I was a patient at Whittier. All of the Physical Therapy staff and OT what a TEAM! I COULD NOT HAVE ASKED FOR MORE!!! So caring and right on top of what you need to move forward. I have to say even the kitchen and the staff that cleaned the rooms were all so nice always asking how I was, and doing their job. The Staff at the front desk that answered you were all so pleasant also, I was impressed by Whittier Rehab and how well dedicated the employees were. They take pride in what they do. My Case Manager Jennifer was right there for me when I needed her. Terry from Nutrition, Thanks for all your help! Special Thanks to Moses, who always seemed to be there! A wonderful CNA, Washington Nurse at night, oh my so many Awesome Nurses! I wish I could remember all the names. Last of all I must say I had the most wonderful Dr. Struck, the BEST Doctor I have ever had! So in tune with every need and problem that I had. Thank you Dr. Struck for being there for me. Unit Secretary

Location: Topsfield, MA - Masconomet Healthcare Center

Category: Nursing

Unit Secretary - Saturday and Sunday 8:00am-4:30pm, entry level

Primary Responsibilities:

• Under the supervision of the Medical Records Director, with input and support from the Nursing Supervisor and Charge Nurse, plans and coordinates the clerical duties of the assigned unit.
•  Maintains good incoming and outgoing communication systems with physicians, other departments, nursing personnel, patients and visitors.
• Functions as unit receptionist and message center in accordance with acceptable behavior, standards and policies of the facility.
• Receives information from the Medical Records Director regarding new admissions and changes in patient documentation requirements.
• Processes new admissions, sets up charts with patient’s name, physician, ID number, room/bed number, etc. on each page.
• Completes the bottom portion of patient care plan with patient information and schedules patients for care planning.
• Ensures that all required signatures are obtained by physicians, nursing department, ancillary departments, etc. according to policy and procedure.
• Thins out current patient records as needed according to policy.
• Arranges transportation and completes all necessary forms for patient discharges, transfers or appointments. Books lab, x-ray, EKG and physician’s services as required, ensures that services are up to date and on schedule.
• Contacts physicians as requested and keeps telephone lists current.
• Schedules and fills in headings on monthly Nursing Summaries, informs nursing of patients in need of daily notes and monitors these.
• Initiates communication regarding patient admissions, transfers, discharges, room changes, LOA and expirations with appropriate departments.
• Updates face sheets as necessary.
• Ensures each resident has a readable ID bracelet. Periodically inspects ID bracelets and arranges replacements as necessary.
• Verifies unit census daily.
• Protects all medical record information from loss, defacing, or destruction during retention period.
• Assures that all medical record information is protected and kept confidential.
• Files medical records.
• Retrieves medical records upon request.
• Variety of other administrative duties as necessary to ensure cohesive communication on the unit.

Prerequisites:
• High School Degree or equivalent.
• Knowledge of ICD codes preferred.
• Excellent organizational skills
• Excellent attention to detail.
• Must be able to work independently.
• Must have high level of confidentiality.
• Healthcare facility experience preferred.
